Technology Specialist


Duties include the following:

Technical Support
Tech support should be in charge of upgrading, installing, ordering, maintaining all computer equipment including desktops, laptops, networks, printers, video screens, cameras and audio for and during live and online auctions.  Standard maintenance includes preventative issues such as keeping up with virus and software updates for all the computers on the premises Makes recommendations for updating equipment, ordering, installing, and training staff on use of new systems Troubleshooting both hardware and software issues as they happen. Finding quick and secure solutions that are cost effective and reliable.  Utilizing the complete office suite for Windows-based programs for Windows 7, Vista, NT, and XP. Checking out and prepping all computers and computer based equipment for upcoming sales.

Advertising 
Takes pictures that will be used in upcoming auctions for both advertising and for use on our monitors for in house viewing during the auction. This includes the following: Taking all photographs of valuable items for use on our web site and large items that will not be moved on the night of auction but will be sold using the monitors to view the larger items. Resizing digital pictures, adjusting the light levels if needed, and renaming them for the webmaster and the auction clerk on auction night (example: EL_269_sony_television) so the category, lot number, and description are all in the title with the underscores beneath. Writing the text that will be used for the auction web site, which include creating some hype of items for upcoming auctions, plus a general description of items that will be in the auction. Highlighting those items the auctioneer deems worthy. Sending both the text and photos to our webmaster with clear direction about which auction date is to be used. Updating Facebook as descriptions and pictures become available. Answering any E-mail / comments we receive on Facebook. Maintaining our E-mail list (law abiding, if people request to be removed they MUST be removed). Sending out E-mail blasts to advertise upcoming auctions.

Coin Auctions 
Work closely with auctioneer as the coin auction becomes built. This process will take up to three weeks. You must take photos of all items that will be sold. If coins are individuals (up to 5) they should be scanned, all other coins must be shot with the micro setting of the camera for maximum detail. As coins are photographed, they are also numbered, and if needed, they should be repackaged in order that the items present a nice clean appearance. Descriptions must be added to the clerking program “Auction RPM” for the date of the auction. As the auction is built over the month the descriptions will be added. Consignor information and commission rate info must be carefully monitored as items are added. Once the auction reaches over 100 groups an export from RPM to a bulk upload catalog should be built and then uploaded to the Proxibid.com web site. You must upload (by bulk) the first 100 groups. However, as the auction gains more groups the groups will need be added manually.  On Proxibid, scheduled auctions must be built with an attention to detail, as the description and viewing dates will change monthly. Our in-house web site will need descriptions and pictures as they are completed, as the items are live on our web site also. You will help the auctioneer in a final QA of the coin list comparing the coins, descriptions and pictures to double check accuracy. Changing any mistakes both in your documentation, RPM and online (both Proxibid and RJ’s web site) for all our bidders. Once complete, the catalog (after the consignor personal information is removed) is sent to Office Max (in Topeka) for printing. Prints must be then picked up once they email that they are ready. It will be your responsibility to display all the coins on the day of auction in numerical order.

Day of Coin Auction
Set up the second clerking computer for the Auction RPM clerk (this will be a second clerk). You are responsible for running the Proxibid application that will be a digital ringman for the auction. This means setting up both the main clerking computer and the laptop with all the pictures of the items that will be sold that night. Another computer will also have a camera and microphone that gives our online bidders a live feed as the auction takes place. The pictures are displayed in house as the items are sold.  Proxibid will train you on working with the auction software you will run as the auction is conducted live in house and on line. After the auction has been completed you will reconcile the auction with the Auction RPM clerk to insure that both of you have the same results recorded.

Day after Coin Auction
Once the auction is complete you are responsible for packing up winning items, boxing them up for shipping, sending each of the winning bidders (through Proxibid) an updated invoice with their correct shipping information and removing the tax if the winners are from out of state.  Supply the office manager with the winning bidder information plus shipping. Once cleared you will be shipping all items out.

General Consignment Auction RPM Clerk
Preparing all computers for auction day. If we have an outside auction, setting up the system outside and making sure the systems are ready to go 20 minutes before auction starts. Digital audio recorders must be clear and fresh batteries installed, they will travel with the outside auctioneer and be stationed at the main clerking station. The recorders must record the entire auction and once complete need to be downloaded the following Monday to keep a record of the sale. With use of Auction RPM clerk will record amount of final bids for merchandise at auction sale. Clerk will digitally enter lot numbers, descriptions, price and buyer numbers supplied while auction is live. 

Ebay
Sell items on eBay as time permits. Taking pictures, writing descriptions, posting to eBay, monitoring auctions, and once auction is complete take care of shipping with UPS.

Office Support
Provide administrative support in an office environment by answering and directing phone calls, taking and distributing messages, handling inquiries and incoming work requests when the office manager is not available. Tracking all cost and expenses for the concession stand and furnishing a monthly report for the auctioneer. Tracking all cost and expenses for the auction house and cash out of pocket and furnishing a monthly report for the auctioneer. Tracking all cost and expenses that the auction house incurs per consignor on expenses and furnishing a monthly report for the auctioneer.

Other
Auction Assistant
As needed – assists readying for the auction by tagging and arranging articles for sale. Receives and stores incoming merchandise to be auctioned. Writes assigned record numbers on tags and wires tags to articles. Arranges articles into group lots, according to similarity of type of merchandise, such as household goods, art objects, jewelry, and furniture.
